Rules and Procedures – Round Top Folk Festival 2026

Rules, Terms and Conditions:
1.      All presenter/demonstrator exhibits must be fully contained within the confines of the space assigned by Burritt. Demonstrations or other activities shall not interfere with other presenters/ demonstrators. 

Presenter/demonstrators shall not operate visual or sound systems in any manner that disturbs or interferes with other demonstrators. 

Presenter/demonstrators may not block any access or travel way in the festival area, or the access or travel way of other Presenter/demonstrators. 

Presenter/demonstrators shall not roam the festival area or parking areas to sell products or promote his/her business. 

Presenters/demonstrators are not permitted to sell their work at the festival, but they may advertise their business and hand out business cards and flyers from their assigned locations. 

Presenter/demonstrators shall not place signs in the festival area or parking areas to promote his/her business. Signs and other advertisements are limited to the confines of a Presenter/demonstrator’s assigned space. 

2.      Presenters/demonstrators will be considered Burritt volunteers. If you have not previously registered as a Burritt volunteer on the POINT Volunteer Management system, please contact our Volunteer Coordinator, Brenna Gardner at brenna.gardner@huntsvilleal.gov. In addition, we ask you to fill out the Demonstrators Information Form found on this website so we can ensure that we have your set up needs and all information that we need for your demonstration.

3.      Presenter/demonstrators may not assign or share all or any part of his/her assigned space to any other person or third party without the prior approval of Burritt.

4.      If the presenter/demonstrator sets up a canopy tent at their assigned location, the tent will be no larger than 10 ft. x 10 ft. The tent must be secured with 50 pounds of weight on each leg (corner). Tent stakes may not be used. We recommend that tents have full length flaps that can be secured around all sides of the tent to deal with weather conditions and to safeguard the contents of the tent throughout the festival dates.

5.      Set Up times and guidelines are as follows:
Friday presenters/demonstrators may set up on Thursday afternoon from 2:30-5:00 and/or on Friday morning from 7:45- 8:45. Students begin arriving on Friday as early as 8:45, and presenter/demonstrators must be set up and in place by this time. Presenters/ demonstrators with Historic Park locations assigned to them may drive carefully into the Historic Park for set up. They should drop off their items and then move their vehicles to a designated parking spot outside of the Historic Park. Vehicles must be out of the Historic Park by 8:30 on Friday morning. Presenters/demonstrators participating in both days may leave their booth set up until the festival ends on Saturday evening.
Saturday presenters/demonstrators may set up on Friday afternoon from 3:00-5:00 and Saturday morning from 8:30-10:00. The festival begins at 10:00 on Saturday morning, and presenters/demonstrators must be set up and in place by this time. Presenters/ demonstrators may drive carefully into the Historic Park for set up if they have been assigned a Historic Park booth location. They should drop off their items and then move their vehicles to a designated parking spot outside of the Historic Park. Vehicles must be out of the Historic Park by 9:30 a.m. Demonstrators who have a booth location on the Green may park in our main lot and use the front gate to access their area for set-up. Vehicles must be out of this lot and in the designated presenter/demonstrator parking area by 9:30 a.m.

6.      All Presenter/demonstrators’ displays must remain open during Festival hours, and presenter/demonstrators may not begin tear down until the festival ends each day. Demonstrators who are only participating on Friday for the field trip groups may begin tear down at 1:45 p.m. Demonstrators who complete their participation on Saturday may begin tear down at 4:00 p.m. Presenter/demonstrators are required to clean up their space and dispose of trash before vacating the festival area. Take down must be completed by 4:00 p.m. on Friday and by 5:30 p.m. on Saturday.

7. If you need an assistant to help you with your demonstration, the assistant must be 16 years of age or older.  Any adult family members who are not assisting and all children must pay admission to attend the festival. All children (under 16 years of age) must be supervised by an adult other than the presenter/demonstrator or his/her assistant. Please let us know if you are bringing an assistant

8.      Drugs, firearms, fireworks, explosives (including pop caps), or items deemed by Burritt to be obscene, controversial, inappropriate, or otherwise inconsistent with the rules, policies and mission of Burritt are prohibited. Burritt reserves the right to restrict, reject, or remove any items if in its sole discretion, Burritt determines whether it is objectionable or inappropriate. We ask that our demonstrators refrain from consuming alcohol during this event.

9.      Presenter/demonstrator agrees to comply with all Burritt rules, policies, and procedures, and all local and federal laws and regulations in connection with his/her participation in the festival. Failure to comply shall be grounds for removal from the festival. Burritt reserves the right to remove any presenter/demonstrator who violates these rules and procedures. 

10.     Burritt expressly disclaims any obligation or representation related to the number of people attending the festival.  

11.   Presenter/demonstrator grants Burritt the nonexclusive right to use and display presenter’s/ demonstrator’s trade name, logos, trademarks and photographs of their craft/skill provided to Burritt for the purpose of promoting the festival.

12.   We reserve the right to postpone or cancel the event due to circumstances beyond our control such as natural disaster or emergency or as required to protect the safety of visitors, presenters/ demonstrators, volunteers and staff members. We reserve the right to change the details of the event without prior notice.
